Inflatable Arches and Tunnels: Briefing an Event Entrance

Compare race arches, branded portals and sports tunnels by clear opening, audience routes, artwork, equipment and quotation responsibilities.

Start with the route people need to use

A custom inflatable arch can mark an arrival, frame a sponsor message or identify a race line. Before choosing a visual, describe the route underneath it. An inflatable arch for events belongs in the site plan alongside visitors, equipment access and the team that will operate it. This guide helps an agency assemble that brief; it does not approve a structure, establish a fixed specification or confirm that every proposed format is available.

For a custom branded inflatable arch, separate the outer silhouette from the clear opening. An inflatable arch with logo also needs a drawing showing the main approach, the printed faces and any secondary sponsor message. A photograph of an inflatable event entrance arch rarely establishes the opening dimensions, equipment locations or fixing arrangement needed for another venue.

Define the start and finish as different operating moments

An inflatable start finish arch may be described as one reusable item, but the start and finish layouts can impose different requirements. At the start, the organiser should identify waiting groups, release arrangements, timing equipment and access for staff. At the finish, the brief should show the run-off area, photography, timing line, medical access and how participants leave the route. These are inputs for the organiser and venue to assess, not dimensions to infer from a product name.

A custom inflatable start line arch should be reviewed against the planned gathering and release layout. A custom inflatable finish line arch should be reviewed against the arrival and dispersal layout. If the campaign requests a custom inflatable race arch for both jobs, record who will relocate it, when that happens and which site checks must be repeated.

For an inflatable marathon arch, send the course plan and the exact location being considered, including nearby street furniture and overhead features. Briefing inflatable arches for race organizers should include the people responsible for the course, timing, branding and installation. Confirm whether the visible arch coincides with the measured line; do not let the artwork create a misleading finish marker.

Compare the proposed air system on the actual site

A request for a custom PVC inflatable arch specifies a material preference, not a complete construction. Ask what the proposed fabric, seams, air system and handling method mean for the chosen form. An airtight inflatable arch requires confirmation of the intended operating period, inspection and pressure-management instructions. The word airtight alone does not establish how long the structure will retain its intended form.

An inflatable arch with blower needs the proposed blower and operating instructions identified in the quotation. Put power availability, equipment placement, cable routing, sound-sensitive areas and the procedure for interruption into the site review. Do not assume that a blower included with one design can serve another size or shape. The venue and the responsible technical team should resolve the proposed installation, fixing and operating conditions before use.

When an entrance becomes a tunnel

A custom inflatable tunnel extends the design question along a route. Ask for the usable passage, entry and exit arrangements, sightlines and staff access to be shown together. An inflatable entrance tunnel used as a scenic threshold should not automatically be treated as weather shelter, a public enclosure or an emergency exit.

For a custom inflatable sports tunnel, include player or participant movement, equipment carried through the passage and the handoff between backstage and public areas. An inflatable mascot tunnel adds a character silhouette around that route; an open mouth or projecting limb in the artwork must be considered in the clearance review. A custom inflatable helmet tunnel introduces another set of identity and proportion questions, including the authorised helmet design and which views matter to cameras.

An inflatable tunnel with logo needs artwork orientation along the approach as well as at its front face. Send a plan with the spectator side, camera side and participant direction marked. Compare the existing branded entrance portal and stage installation directions before deciding whether an arch or an extended passage serves the event.

Make quotations comparable before selecting a proposal

A custom inflatable arch quote should identify the agreed outer dimensions, clear opening, artwork revision, quantity, destination and requested dates. Ask the inflatable arch manufacturer named in the proposal to state which design reviews, equipment, accessories, packing information and operating documents are included. Clarify who contracts with whom; InflatPro's project review is not proof of ownership of a production facility.

An inflatable arch price with logo is not comparable across proposals if one includes graphic adaptation and another assumes print-ready files. Separate the structure, artwork work, proposed equipment, transport and onsite responsibilities. Record exclusions and open items rather than comparing the headline figure alone.

If the request is actually for a staffed or occupied shelter, an inflatable event tent manufacturer should be asked for a separate scope and evidence appropriate to that use. Do not use an entrance-arch quote as evidence for an event tent. The enclosure, access arrangements and destination requirements need their own review.

Leave the review with named decisions

The useful output is a dated plan, approved artwork revision, proposed equipment list and a responsibility record. Name the party confirming site suitability, the party receiving the equipment and the person responsible for daily operation. An unresolved item should have an owner and a review date. Changes to the venue, passage width, artwork or operating hours should return to the appropriate reviewer.

Use the event installation brief to connect these decisions to the wider programme. For general event-site context, consult the HSE venue and site design guidance; it is background reading, not approval for a particular installation or destination.
